How it works
How your AI voice agents get built, run and improved.
This page explains exactly what your agents do, what we do behind them, what stays with your team, and how we measure it. You're not buying software to set up. You're getting AI voice agents built for your business, and a team that's accountable for keeping them booking.
The five stages
What your agents do
- 01
Reach every lead in seconds
Inbound calls are answered on the first ring. New leads from Instagram and Facebook forms, your website and property portals are called within seconds when delivered through your connected CRM or agreed integration. Bulk campaigns for older and unworked leads run on lists you approve, within agreed calling hours.
- 02
Qualify from live data
Before it speaks, the agent reads the lead's live record: source, past calls, messages, what's already known. It asks only what's missing. The details your team needs before it spends time on someone, captured in conversation rather than on a form, in the caller's language, and written back to your CRM and Voxera Voice CRM, in your fields.
- 03
Book into the real calendar
Into your real calendar against real availability. Or transferred live to the right person. Or escalated by your rules. The handoff arrives with the conversation attached. Confirmation goes out on WhatsApp the moment it's booked.
- 04
Follow up on the right channel
The confirmation. The reminder. The reschedule. The agent chooses the channel per touch: WhatsApp for confirmations, reminders, addresses, fee sheets and brochures; a call for objections, reschedules and re-engagement. A lead who reads messages but never answers calls gets messages, not a fourth call.
Follow-up calls only when they're worth making, within the call limits you set. Outbound work includes first contact on leads from portals and campaigns, and re-contact of dormant lists you approve.
We set which touches go which way during deployment, and we change it based on what the follow-up actually produces. If someone reads your messages but never picks up, we stop calling them. That's the sort of decision nobody makes when follow-up is manual, because nobody is watching that closely.
Most of what an inquiry turns out to be worth shows up here, not on the first call. A dormant list isn't old leads. It's demand nobody ever finished working.
What we do behind them
- 05
Improve every week
Every call is classified as it completes: intent, sentiment, the objection that came up, whether follow-up is needed and what the next action should be. That classification is what drives the follow-up cycle, so a conversation that needs another attempt gets one without anyone deciding it should.
Connections into your systems are checked on a schedule rather than when someone happens to look. A token that expires or a mapping that stops writing is caught by the check, not by you going looking for a lead that isn't there.
On top of that we review conversations: the ones the classification flags, and a sample of the rest. Weak spots are fixed and pushed live, and each fix appears in your monthly bookings report. When your pricing, inventory, programmes or people change, you tell us and we update your agents.
The hours, the cadence and the scope inside stage 05 are agreed for your deployment before we start, and written down. It isn't the same for every operation and we don't pretend it is.
Your agents do stages 1 to 4, around the clock. Stage 5 is us: scoring every conversation and shipping fixes weekly, so your agents book more over time, not less.
AI tool vs Voxera Voice
Voice AI tools give you a bot and a dashboard. We give you agents that book.
What we need from you
Five things, and none of them is ongoing work.
- The inquiry channels: phone-line forwarding, and the lead sources in scope
- Your CRM and calendars, with access set up once. No CRM? You'll work in Voxera Voice CRM from day one.
- The business rules: what's true, what's sayable, what's out of scope
- The escalation contacts and the conditions that trigger them
- A named counterpart on your side for the review
After deployment, the only recurring input we need is that you tell us when something changes on your side. Fees, inventory, staff, timings, programmes, availability. You tell us; we update your agents.
Deployment
A deployment shaped around your scope.
Exact timelines vary depending on call-script complexity and integration routing requirements.
We coordinate with whoever holds the systems. Often that's one person, and often it isn't a technical role.
1. Map your booking flow
What to ask, when to book, when to hand over to your team.
2. Teach the agent your business
Brochures, price lists, fee structures, programme catalogues. Send them or share a link.
3. Connect your systems
Connect your CRM and calendars, or set up Voxera Voice CRM. One login from your side; we do the rest.
4. Test and go live
Test calls, then go live on your number and WhatsApp.
Deployment ends and the operation begins on an agreed operating start date. That distinction matters: everything before go-live is the build. Everything after is us running and improving it.
Review and reporting
A monthly bookings report, and a call to go through it.
Appointments booked and held. Time to first contact. Leads reached, qualified and followed up, by call and WhatsApp. What was escalated. What we fixed and what it changed.
Want to see it live? Every call, transcript, WhatsApp thread and booking is in Voxera Voice CRM, and synced to yours. You'll never need to watch it. You can always check it.
When something goes wrong
We catch it, correct it, and report it.
The desk is monitored in the same way the rest of the operation is: failures in the call flow, field mapping, escalation logic, or business-rule changes are identified, corrected, and noted in the operating report.
If a deployment ends, the operational record is handed over or wound down according to the agreement. Your CRM, your customer data, and your number remain yours. We do not take custody of the business relationship or the underlying data itself.
We don't make clinical, legal, financial or admissions decisions.
